Home Universal is seeking a highly professional and strategic PA & Administration Manager to ensure efficient executive support and smooth administrative operations across all its subsidiaries in Nairobi. This critical corporate administration job in Kenya requires 5–7 years of administrative and executive support experience and a Bachelor’s degree in a related field. The Manager will directly support the Executive Chairman, manage all administrative functions (facilities, staff, logistics), and enforce organizational discipline and operational excellence.

Role Overview
The PA & Administration Manager balances direct executive support with hands-on administrative leadership. Key duties include managing the Executive Chairman’s calendar, coordinating high-level meetings and travel, overseeing all administrative staff and service providers, managing office inventory and facilities (maintenance, security), and ensuring adherence to policies and reporting timelines across all subsidiaries. High integrity, emotional intelligence, and diplomatic skills are essential.
Key Responsibilities
- Executive Support: Manage the Executive Chairman’s complex calendar, appointments, and schedules; prepare high-quality briefs, reports, presentations, and communication materials.
- Coordination & Follow-up: Track deliverables and follow up on action points across all departments and subsidiaries, organizing high-level meetings, conferences, and site visits.
- Administrative Management: Oversee all administrative operations (reception, drivers, office assistants) across all subsidiaries; manage inventory, stationery, equipment, and utilities.
- Facility Coordination: Ensure office cleanliness, maintenance, security, and space organization; coordinate effectively with landlords, facility managers, and suppliers.
- Communication & Documentation: Draft official letters, memos, and corporate correspondence; prepare accurate minutes and follow-up reports; maintain organized physical and digital filing systems.
- Event & Travel Management: Organize board meetings, expos, functions, and VIP events; arrange complex travel logistics, accommodation, and itineraries.
- Leadership & Performance: Train and supervise administrative staff, conduct performance reviews, track administrative KPIs, and promote teamwork and efficiency.
Skills & Expertise Required
- Experience: Minimum 5–7 years administrative and executive support experience, with experience managing admin teams or an executive office in a fast-paced, multi-subsidiary corporate environment.
- Education: Bachelor’s degree in Business Administration, Management, Communication, or a related field. Professional Executive PA training preferred.
- Core Skills: Excellent communication (writing and speaking), strong organizational, planning, and professional documentation skills.
- Soft Skills: High integrity, confidentiality, emotional intelligence, diplomacy, and strong people-management abilities.
- Technical Competencies: Proficiency in MS Office (Word, Excel, PowerPoint, Outlook); knowledge of CRM/ERP systems and procurement processes.
