The United Nations Office at Nairobi (UNON) is seeking an Administrative Assistant to support general administration and operations. This UN support job in Nairobi is open to candidates currently enrolled in or recently graduated from a relevant undergraduate or graduate program (Data Science, Business Administration, Economics, Social Science, or related field). The Assistant will provide crucial support across procurement, filing, minute taking, customer service, and assist with the development of the archives and records management program, including moving towards digitization.

Role Overview
The Administrative Assistant will provide hands-on general administration and operational support. Key responsibilities include assisting with the proper organization and monitoring of procurement actions, handling front desk customer service, assisting with the maintenance and updating of specialized databases (UN Fuel Station, Commissary), and providing critical support to the Archives team in records transfer, sorting, and research related to digitization initiatives.
Key Responsibilities
- General Operations Support: Assist the operations team in organizing, implementing, monitoring, and controlling procurement actions in progress.
- Front Desk & Correspondence: Assist with daily customer service at the front desk and drafting routine office correspondence.
- Records & Filing: Assist respective teams with filing documents, typing, copying, and minute taking.
- Database Management: Maintain and update specialized databases, such as the UN Fuel Station Integrated System and the UN Recreation Centre/Commissary Customer databases.
- Archiving Support: Assist in maintaining a central list of records transferred to Archives, sorting and inventorying legacy records, and appraising records.
- Digitization & Improvement: Participate in designing and improving archives and records management programs, and assist in carrying out research related to the move to digitization.
- Consignment Inspection: Assist with receiving and inspection of consignments destined for the United Nations Commissary.
Qualifications/Special Skills
- Eligibility: Must meet one of the following: enrolled in a graduate program; enrolled in the final academic year of a first university degree (Bachelor’s minimum); or graduated with a Bachelor’s, Master’s, or PhD (or equivalent).
- Study Area (Preferred): Undergraduate or graduate degree in data science, business administration, economics, social science, or a related field.
- Technical Skills: Must be computer literate in standard software applications (Microsoft Office Suite).
- Competencies: Demonstrated keen interest in the work of the United Nations; personal commitment to the ideals of the Charter; ability to successfully interact with individuals of different cultural backgrounds.
