Job Description
The Human Resources Assistant provides essential administrative support to ensure the efficient operation of the HR Unit. This role spans the entire employee lifecycle, from supporting recruitment and onboarding to managing exit procedures and maintaining personnel records. The assistant also handles critical compliance tasks related to immigration and protocol for international staff, ensuring that all HR administrative workflows are accurate, confidential, and aligned with organizational standards.
Key Responsibilities
- Support recruitment by screening applications, preparing interview files, and coordinating logistics
- Manage the onboarding process for new staff, including induction schedules and IT access coordination
- Maintain accurate and confidential digital and physical personnel files in the HR system and ERP
- Assist in the preparation of consultancy contracts and hosted organization agreements
- Prepare work permit support letters and update staff details in the Ministry of Foreign Affairs portal
- Process payroll input documents and manage vendor forms for HR-related services
- Issue staff badges and prepare general HR correspondence and correspondence letters
- Support HR audits by preparing necessary documentation for internal or external assessments
Qualifications & Experience
- Diploma in Human Resources Management or an equivalent qualification
- Minimum of one year of experience in a formal Human Resources environment
- Proficiency in Microsoft Office applications
- Demonstrated ability to prioritize work activities and manage time efficiently
- Strong organizational skills with a high degree of accuracy and attention to detail
- Experience with HR systems or ERP platforms is beneficial
