Job Description

The Customer Service & Event Housing Coordinator manages room block logistics and stakeholder relations for large-scale contracted events. This role serves as the primary technical and service link between event owners, hoteliers, and attendees, ensuring that housing needs are met with precision. By monitoring booking trends and resolving reservation issues, the coordinator ensures optimal pick-up rates and service delivery, supporting both the Director of Lodging and external partner clients.

Key Responsibilities

• Coordinate room blocks for contracted events, including the creation, modification, and cancellation of reservations
• Monitor hotel pick-up rates and maintain detailed inventories of room allocations and assignments
• Act as the first point of contact for customer inquiries via phone, email, and live chat
• Build and maintain professional relationships with hotel partners, vendors, and CVBs (Convention and Visitors Bureaus)
• Analyze pre- and post-event metrics to provide actionable insights on booking performance
• Review and interpret RFPs and event agreements to ensure alignment with housing service offerings
• Collaborate with the Marketing Department to support promotional strategies for event housing engagement
• Provide on-site representation at conferences and sales meetings to manage housing performance

Qualifications & Experience

• Bachelor’s degree in Hospitality, Travel & Tourism, Business Administration, or a related field
• Proven experience in customer service, sales operations, or the travel and hotel industry
• High proficiency in MS Office (Excel, Word, PowerPoint, and Outlook)
• Strong ability to navigate and manage multiple software platforms simultaneously
• Excellent verbal, written, and presentation skills
• Strong attention to detail and the ability to work effectively under strict deadlines
• Marketing or promotional experience is considered an added advantage
