Assistant II, Administration and Finance
Overview
The Assistant II (Administration and Finance) provides critical financial management and operational support for donor-funded projects in Kisumu. This role involves managing daily financial transactions, ensuring strict adherence to Hilton Foundation grant terms, and maintaining accurate accounting records within QuickBooks. You will play a key role in budget monitoring, asset management, and providing the logistical support necessary for smooth project implementation.
Responsibilities
- Process all project financial transactions including bank payment vouchers and petty cash reconciliations.
- Maintain up-to-date financial records in QuickBooks, ensuring proper grant cost-center coding.
- Monitor project expenditure against approved budgets and prepare monthly variance analysis reports.
- Track staff and partner advances, ensuring timely liquidation and accountability.
- Support internal and external audit processes through meticulous documentation retrieval.
- Provide logistical support for workshops, including venue booking, travel, and per diem processing.
- Maintain an accurate inventory and asset register for all project equipment.
- Collaborate with program teams to provide financial data for costing and cost-effectiveness studies.
Qualifications & Experience
- Bachelor’s degree in Commerce (Finance/Accounting option) or Business Administration.
- Minimum of 3 years of professional experience in NGO finance and administration.
- Proven experience in financial reporting and compliance for institutional donors.
- Preferred: Certified Public Accountant (CPA) Part II.
- Proficiency in QuickBooks or related ERP accounting systems.
