Job Description
The Administrative Assistant provides essential support to the Chief in managing the unit’s human resources and financial activities. This role involves initiating and monitoring HR actions such as recruitment, job classifications, and training while ensuring strict adherence to UN regulations. The assistant also plays a key financial role by reviewing requisitions for goods and services, ensuring fund availability, and processing payments within the Umoja ERP system. This position requires high-level organizational skills to manage documentation and facilitate smooth administrative operations.
Key Responsibilities
- Assist in all recruitment processes, including processing actions for interns, contractors, and consultants.
- Monitor HR activities such as job classifications, separations, and training deliverables.
- Review financial requisitions to ensure correct objects of expenditure and fund availability.
- Perform general administrative functions in Umoja (ERP), including requisitioning and payment processing.
- Draft routine correspondence, reports, and minutes of meetings.
- Maintain and organize updated documents in shared Teams folders.
- Provide administrative support for unit-specific projects, including construction or renovation as needed.
Qualifications & Experience
- High school diploma or equivalent; supplementary training in administration is desirable.
- Minimum of 5 years of experience in administrative services. (Reduced to 3 years with a first-level University degree).
- Mandatory: Proficiency in the Umoja (SAP-based ERP) system.
- Experience in UN HR recruitment processes and report writing is highly desirable.
- Added Advantage: Experience in data analytics or supporting large-scale facility projects.
