Job Description
The Project Assistant provides comprehensive administrative and operational support to the Vector Atlas Principal Investigator, scientific staff, and project teams. This role is designed to ensure the efficient and timely implementation of research activities through rigorous documentation management, logistical coordination, and stakeholder communication. The assistant serves as a central point of contact for researchers, policymakers, and partner institutions, facilitating the smooth execution of seminars, workshops, and specialized training programs while maintaining high standards of project accountability.
Key Responsibilities
- Coordinate logistical aspects of project activities, including seminars, workshops, and field training sessions
- Manage project documentation, including the compilation and dissemination of meeting minutes and maintaining filing systems
- Facilitate effective communication among project stakeholders, researchers, trainers, and partner institutions
- Prepare project reports, presentations, and supporting documents aligned with stakeholder requirements
- Organize internal and external meetings, including handling registration, workshop programs, and materials
- Process and track project payments, partner disbursements, and financial database entries
- Manage travel advances, cross-checking, and accountability for unit personnel
- Support human resource processes, including staff and student recruitment and contract renewals
Qualifications & Experience
- Bachelor’s degree in a relevant field with specialized experience in Project or Financial Management
- Minimum of 2 years of experience in project implementation and reporting within an NGO environment
- Demonstrated organizational skills with a high degree of attention to detail and time management
- Exceptional writing skills for taking professional notes and drafting technical reports
- Proven ability to facilitate teamwork and collaborate with partners across all organizational levels
- Strong interpersonal skills and the ability to work under pressure and meet strict deadlines
