Overview

The British High Commission in Nairobi is seeking a versatile individual to provide administrative and travel coordination support to the British Defence Staff (BDS) East Africa. This role is centered on high-level travel logistics for Kenyan and British military personnel, event coordination, and general office management. It requires a professional capable of managing competing demands while ensuring strict compliance with FCDO and Defence policies and maintaining high-quality service standards.

Responsibilities

  • Lead end-to-end travel coordination (flights, accommodation, visas) for BDS staff and Kenyan Ministry of Defence personnel.
  • Track travel budgets and produce periodic reports on spend, volume, and compliance.
  • Coordinate major events including the East Africa Military Planning Group and regional conferences.
  • Provide general administrative support, including filing, diary coordination, and document management.
  • Handle light procurement tasks and workspace readiness for new staff and visitors.
  • Liaise with the Defence Media Officer to coordinate material for BHC communication teams.
  • Maintain accurate ESCAPADE records and perform monthly/quarterly programme reporting.

Qualifications & Experience

  • Education: Excellent IT skills (Mandatory: MS Excel and Word; Desirable: Outlook and Teams).
  • Experience: 2+ years working in a diplomatic mission, international NGO, or similar environment.
  • Skills: Strong oral and written communication, high level of initiative, and flexible response to demands.
  • Added Advantage: Working knowledge of the Kenyan military/Ministry of Defence or experience with UK Five Eyes partners.
