Mail Officer (Administration Assistant 2)
Role Overview
The Mail Officer plays a critical support role in ensuring that all official correspondence and courier items are handled securely, accurately, and on time. This position is essential to maintaining trust, accountability, and smooth communication flows within and outside the organization.
Key Responsibilities
Mail Processing & Distribution
- Receive, sort, register, and date-stamp incoming mail and courier items
- Prepare and distribute internal mail promptly to the correct offices
- Process and dispatch outgoing mail with complete documentation
Courier Coordination & Tracking
- Liaise with postal and courier service providers on collections and deliveries
- Track registered mail and follow up on delayed or missing items
Records, Security & Customer Service
- Maintain accurate mail registers and tracking logs for audit purposes
- Handle confidential correspondence with discretion and security
- Provide responsive customer service to staff on mail-related inquiries
Qualifications & Experience
- Certificate or Diploma in Records Management, Office Practice, or Customer Service
- KCSE mean grade C– (Minus) or equivalent
- Computer literacy
- Minimum of 2 years’ experience in mail handling, logistics, or dispatch
