Clerical Officer
Role Overview
The Office of the Registrar of Political Parties (ORPP) requires a disciplined Clerical Officer to manage the high-volume administrative needs of our regulatory environment. This position is strictly focused on the physical and digital preservation of statutory records, ensuring that all files related to political party registration and funding are organized, secured, and easily retrievable. You will be responsible for the mechanical aspects of office administration—including scanning, binding, and data entry—while maintaining a rigorous file movement register to prevent information loss. This is an essential support role that ensures our functional areas operate with maximum transparency and efficiency.
Key Responsibilities
- Execute core clerical functions including high-speed photocopying, scanning, and binding of official documents.
- Maintain the registry’s integrity by ensuring all files are organized according to the office’s classification system.
- Track the circulation of files to action officers, utilizing a movement register to ensure timely responses.
- Draft simple correspondences and coordinate regular file census activities to verify record accuracy.
- Oversee the general cleanliness and security of sensitive departmental files and office equipment.
- Provide direct administrative support to line managers within your deployed functional area.
Qualifications
- Kenya Certificate of Secondary Education (KCSE) with a mean grade of C (Minus) or its equivalent.
- Proven proficiency in Computer Application Skills.
- Demonstrated compliance with the requirements of Chapter Six (6) of the Constitution.
- Strong organizational skills with a focus on systematic record-keeping and data entry.

- Valid Certificate of Good Conduct from the Directorate of Criminal Investigations (DCI);
- Valid Clearance Certificate from the Higher Education Loans Board (HELB);
- Valid Tax Compliance Certificate from the Kenya Revenue Authority (KRA);
- Current duly filled and stamped Self-Declaration/Clearance from the Ethics and Anti-Corruption Commission (EACC);
- A current Clearance Certificate from an approved Credit Reference Bureau (CRB).
