Job Description

The Assistant Receiving Clerk is responsible for the meticulous control and documentation of all incoming hotel supplies. This role ensures that all goods from food and beverage to operating equipment meet the hotel’s strict standards for quality, quantity, and price as per purchase orders. By maintaining accurate records for audit and local authority requirements, the clerk supports the hotel’s cost-control objectives and ensures a seamless flow of materials to the respective departments without operational delays.

Key Responsibilities

  • Verify that the quality, quantity, price, and shelf life of all incoming supplies align with purchase orders
  • Secure received products and coordinate immediate delivery to relevant departments or storage areas
  • Update the Purchasing Manager on rejected deliveries, short supplies, or non-supply issues for alternative action
  • Maintain comprehensive records for audit purposes and local municipality requirements
  • Document hotel property sent out for repairs or refilling and proactively follow up on their return
  • Create credit notes for discrepancies and update accounts payable with all supporting documentation daily
  • Assist the Cost Controller with month-end inventory reconciliations and administration of the inventory system
  • Participate in quarterly and annual physical inventory counts of all operating equipment

Qualifications & Experience

  • Degree or Diploma in Purchasing & Supplies, Procurement, Accounting, or Finance
  • 1–3 years of experience in receiving, stores, or procurement, ideally within a hotel environment
  • Basic knowledge of accounting principles and inventory procedures
  • Familiarity with food safety and hygiene standards for F&B supplies is a significant advantage
  • Strong attention to detail with the ability to verify goods against technical specifications
  • Proficiency in inventory management software or ERP systems
  • Professional certification progress (CIPS or KISM) is considered an added advantage
