Admin and Business Support Officer
Role Overview
This is a high-trust support role that sits right next to the Managing Director’s day-to-day priorities. You will keep the MD’s schedule tight, communications orderly, and the Head Office running smoothly—without noise, missed follow-ups, or avoidable delays.
Key Responsibilities
- Manage and coordinate the Managing Director’s calendar, including meetings, appointments, and engagements
- Act as a liaison between the Managing Director and internal/external stakeholders (clients, suppliers, staff)
- Screen, prioritise, track, and follow up on correspondence and action items directed to the Managing Director, including confidential matters
- Coordinate office activities and operations to improve efficiency and ensure compliance with company policies
- Manage front desk operations, including welcoming visitors and directing them appropriately
- Handle incoming calls, emails, letters, packages, and general office communications
- Oversee office cleanliness, workstation order, and coordination of support staff responsible for office upkeep
- Track office supplies and inventory levels and place orders when needed
- Support general administrative and operational tasks that keep the Head Office functioning effectively
Qualifications
- Diploma or Bachelor’s degree in Business Administration or a related field
- 2–3 years’ experience in administration or office support (financial services exposure is an advantage)
- Strong organisation and multitasking ability with close attention to detail
- Proficiency in Microsoft Office applications; familiarity with CRM systems is beneficial
- Excellent written and verbal communication skills
- High integrity, professionalism, and ability to handle confidential information responsibly
- Customer-focused mindset with a practical approach to supporting team operations
